Mission

Geneva Call (GC) is a neutral and impartial non-governmental organization dedicated to promoting respect for international humanitarian law by armed groups and de facto and/or provisional authorities (DGAs) in situations of armed conflict and other violence, particularly those related to the protection of civilians. Geneva Call focuses its efforts on prohibiting the use of antipersonnel mines, protecting children from the effects of armed conflict, prohibiting sexual violence in armed conflict, working to eliminate gender discrimination, protecting civilian infrastructure, and ensuring humanitarian access.

Role

The Administrative Officer provides efficient administrative support to ensure the smooth operation of the GC office in Bogotá. Under the supervision of the Head of Support, the Administrative Officer will oversee the administration of ongoing projects, payments to suppliers, facilities, logistics, records, and correspondence, and support procurement coordination, while also providing support to staff and management. The Administrative Officer ensures that administrative processes, systems, and resources are organized, comply with GC and donor policies, and meet operational needs, while contributing to a safe, efficient, and functional work environment.

Working relationships

The Administrative Officer reports to the Head of Support and works closely with the Country Support Team. The role also maintains regular contact with external partners, including United Nations agencies, Permanent Missions, international organizations, and service providers, as needed.

Functions and responsibilities

Support and programming

  • Conduct market research to identify local suppliers
  • Support field staff in administrative and purchasing procedures
  • Perform payment procedures to external suppliers and payroll for staff
  • Keep the accounting records for each assigned project in order.
  • Prepare all necessary documentation and relevant information for meetings and missions
  • Keep the organization’s asset inventories up to date

Event and travel management

  • Ensure that the necessary protocols and logistics are in place for official meetings, field missions, and external events.

Internal communication and coordination

  • Promote a collaborative and efficient work environment, ensuring a constant flow of information and coordination between teams.
  • Work closely with the Head of Support, providing backup and support when needed.

Other responsibilities

  • Perform additional duties as needed to support the effective functioning of administrative operations.

Requirements

Education (Essential)

  • University degree in Public Administration or a related field. Extensive relevant experience may substitute for the university degree requirement.

Experience (Essential)

  • At least 5 years of experience with progressively greater responsibilities in administrative management at the executive level, ideally in international organizations, the United Nations system or Permanent Missions.
  • Proven experience in organizing large-scale events and managing activities with multiple stakeholders in different locations.
  • Proven experience in managing travel for large groups.
  • Proven track record of providing support to senior management in dynamic and high-pressure environments.
