Job description
The person in this position will be responsible for ensuring the efficient logistics, procurement processes, and administrative activities of the Programs and Projects team, in accordance
with ActionAid’s internal policies and audit requirements.
Main responsibilities
: • Event organization: Coordinate the logistics of activities led by the programs team, including
training, advocacy, and other institutional actions.
• Domestic travel: Coordinate pilot, per diem, and fees for the programs team’s travel
to territories where ActionAid or partner organizations have a presence, as well as to other territories
related to their work.
• International travel: Manage the purchase of airline tickets for program team members and
representatives of organizations participating in international events organized by ActionAid or other
entities.
• Visitor assistance: Ensure that immigration information is available for individuals from other countries, related to programs,
who visit ActionAid Guatemala.
• Logistics database: Maintain an up-to-date database of hotels and event venues in the
territories where ActionAid operates, ensuring safe conditions.
• Materials control: Track the delivery of books, t-shirts, caps, and other materials produced by
programs for ActionAid staff, partner organizations, and allies.
• Procurement of goods and services: Make purchases required by the programs team for
directly implemented projects, in accordance with the purchasing policy and other institutional policies.
• Review of territorial processes: Review the purchasing processes carried out by territorial teams for
directly implemented programs.
• Supplier management: Maintain a database of goods and services suppliers for future
procurement processes.
• Contracts and addenda: Request the necessary information from suppliers for the preparation of contracts or
addenda, verifying their validity and compliance with institutional and audit policies.
• Invoicing and deliverables: Request invoices and deliverables according to the contracts for goods or services
provided to ActionAid.
• Payments and disbursements: Manage payment requests to suppliers and disbursement requests for
partner organizations.
Minimum requirements:
• Academic background: University degree in Administration.
• Experience: Minimum one year of experience in logistics, procurement, and
administrative functions.
• Institutional Commitment: Commitment to social and gender justice.
• Computer Skills: Proficiency in Windows, Microsoft Office, Excel, and email.
• Competencies: Ability to make decisions and efficiently organize activities, procurement, and
administrative processes.
• Availability: Willingness to travel to areas where ActionAid or its partner organizations operate
.

• Schedule: Monday to Thursday, 7:00 am to 4:00 pm and Friday, 7:00 am to 2:00 pm
