PROJECT COORDINATOR – RCEAM BENIN

RÉSUMÉ

Under the supervision of the Country Representative and in close collaboration with the Catalyste+ programme team, the Project Coordinator will be responsible for coordinating and supporting the effective implementation of the project Strengthening export capacities and market access of small and medium-sized enterprises (SMEs) in Benin (RCEAM-Benin).

The Coordinator will be responsible for the planning, coordination, and monitoring of project activities, in collaboration with our local partner, the Benin Chamber of Commerce and Industry (CCI Benin), the beneficiary SMEs, the Catalyste+ advisor, and the Catalyste+ project team. They will ensure adherence to the work plan, deadlines, the quality of deliverables, and project objectives, and will coordinate the operational and logistical aspects necessary for the implementation of the activities.

The Coordinator will also be responsible for monitoring the project’s results and impact , including collecting, validating, and analyzing data related to activities and performance indicators. They will contribute to documenting results, best practices, and lessons learned, as well as preparing activity and financial reports for Catalyste+ and donors.

The Coordinator will work closely with the various stakeholders to ensure the proper implementation of activities and to contribute to achieving the project results , in compliance with Catalyste+ policies, procedures and standards.

Duty station

The Project Coordinator must be based in Cotonou, Benin, and be available to ensure a regular presence with the CCI Benin and other project stakeholders.

Contract duration

This is a fixed-term contract until March 31, 2027.

MAIN RESPONSIBILITIES

Management and coordination of project implementation

  • Coordinate the planning, organization and implementation of project activities in collaboration with the CCI Benin, the project team and other relevant partners.
  • Ensure follow-up of the project work plan and timelines, and quickly identify any delays, risks, issues or deviations from established objectives, proposing corrective measures as needed.
  • Coordinate the operational and logistical aspects related to training, workshops, advisor missions and other activities planned within the framework of the project.
  • Ensure liaison and coordination with the CCI Benin, the beneficiary SMEs, the Catalyste+ advisor, the project team and other project stakeholders.
  • Coordinate the preparation and follow-up of project meetings, with partners, the project team and the funder as needed.
  • Monitor the overall progress of the project implementation and ensure the flow of relevant information between the various stakeholders.
  • Contribute to the preparation of activity and financial reports intended for Catalyste+ and donors.
  • Participate in the administrative and financial monitoring of the project, in particular by contributing to the monitoring of expenses, budget planning and the identification of discrepancies requiring attention from management.

Monitoring results, collecting and managing data

  • Ensure the collection and compilation of data necessary for monitoring project activities and results.
  • In collaboration with the project team, validate the data collection methods and tools.
  • Ensure that the data collected is complete, reliable and aligned with the indicators and targets established within the framework of monitoring and evaluation.
  • Regularly monitor the project’s progress against the expected results and indicators and report any deviations or issues requiring adjustment.
  • Ensure the monitoring of the quality of results among the 30 staff members of the CCI Benin, the 10 trainers and the 50 beneficiary SMEs.
  • Contribute to the preparation of data and information required for project monitoring and performance reports.

Communications, visibility and learning

  • Contribute to the implementation of the project’s communication and visibility plan, in collaboration with the Catalyste+ team and partners.
  • Identify and document results, success stories, testimonials and other content that can be highlighted in project communications.
  • Coordinate the project’s communication and visibility activities, including liaison with local media, media coverage, and dissemination of results through social media and partner channels.
  • Ensure compliance with the visibility requirements of Catalyste+ and the funders.

Administration, compliance and project support

  • Ensure confidentiality and data protection, in accordance with Catalyste+ policies and procedures.
  • Ensure compliance with the administrative, financial and operational procedures applicable to the project.
  • Support the preparation and monitoring of administrative and financial documents necessary for the implementation of activities.
  • Perform any other relevant tasks assigned by management to support the successful implementation and achievement of project results.

REQUIRED KNOWLEDGE, SKILLS AND EXPERIENCE

Education and experience

  • University degree in business administration, project management, international development, economics, international trade, business management or a related discipline, and/or at least three (3) years of relevant experience in a project coordination position or similar role.
  • Demonstrated experience in coordinating and implementing projects, ideally in the fields of international development, private sector development, SME development, trade or institutional strengthening.
  • Experience working with companies, professional associations, chambers of commerce, public institutions, development organizations or international partners is a significant asset.
  • Experience in coordinating training sessions, workshops, missions, capacity-building activities or other activities involving multiple stakeholders.

Technical knowledge

  • Good understanding of issues related to international development, including private sector development, value chains, trade, governance, environment and climate change, as well as gender equality and women’s economic empowerment (GE/WEA).
  • Good understanding of results-based management (RBM) principles, including the definition and monitoring of indicators, data collection and validation, documentation of results and identification of deviations from targets.
  • Knowledge of monitoring and evaluation principles and data management applied to development projects.
  • Knowledge of the principles of budget management, expenditure monitoring, administrative compliance and accountability is an asset.

Skills in project management, results monitoring, and data management

  • Excellent planning, coordination and organizational skills enabling the management of multiple activities and timelines simultaneously.
  • Ability to ensure rigorous monitoring of deliverables and to ensure their quality and conformity to project expectations.
  • Ability to anticipate operational and logistical needs and to quickly resolve problems encountered during implementation.
  • Ability to collect, compile, verify, analyze and present data related to project activities and results.
  • Ability to track the progress of a project against established results, indicators and targets.
  • Ability to document results, best practices, lessons learned, success stories and changes observed among beneficiary SMEs.

Communication, stakeholder relations and visibility

  • Excellent interpersonal and relationship skills, with the ability to work effectively with interlocutors at different levels and from different professional backgrounds.
  • Excellent oral and written communication skills, including for preparing reports, summaries, presentations, follow-up notes and other professional documents.
  • Excellent ability to establish and maintain constructive working relationships with local and international partners.
  • Cultural sensitivity and the ability to handle sensitive issues with tact, diplomacy, and discernment.
  • Good understanding of the principles of communication and visibility related to international development projects.
  • Ability to coordinate communication activities with partners, media and other stakeholders.
  • Good understanding of the principles of visibility and recognition of funders.

Use of tools and language

  • The ability to use social media and digital tools to contribute to the dissemination of project results is an asset.
  • Excellent command of Microsoft Office, including Word, Excel, PowerPoint and Outlook.
  • Excellent command of French, both spoken and written.
