Provision of In-Country Hotel and Conference Booking Services At CBM Global Disability Inclusion

  1. Introduction

CBM Global invites qualified and experienced travel and hospitality agents to submit quotations for the provision of in-country hotel accommodation and conference booking services across Kenya.

2. Objective of the RFQ

The objective of this RFQ is to identify a reliable and competent service provider capable of:

  • Arranging hotel accommodation bookings
  • Facilitating conference and meeting venue bookings
  • Providing competitive corporate rates
  • Ensuring accessibility, security, and quality standards

3. Scope of Service

The selected vendor will be expected to:

  • Source and book hotel accommodation (minimum 3-star standard)
  • Arrange conference facilities and meeting packages
  • Provide multiple options per request (cost-effective and compliant)
  • Offer negotiated corporate rates and discounts
  • Ensure hotels meet accessibility standards for persons with disabilities
  • Provide flexible booking, modification, and cancellation support
  • Maintain strong communication and responsiveness

3. Geographic Coverage

The vendor must demonstrate capacity to provide services in the following regions:

  • Nairobi and Environs (priority: Westlands proximity)
  • Kajiado
  • Meru / Tharaka Nithi
  • Kisumu / Kakamega
  • Isiolo / Samburu
  • Baringo
  • Bungoma / Kimilili
  • Mombasa / Diani / Kilifi
  • Turkana
  • Nyahururu
  • Embu
  • Homabay
  • Kwale / Voi
  • Malindi
  • Kajiado / Machakos
  • Nakuru
  • Naivasha

4. Minimum Requirements

Service providers must meet the following criteria:

  • Registered business/entity in Kenya
  • Proven experience in corporate or NGO travel management
  • Established partnerships with hotels nationwide
  • Ability to secure three-star (3★)
  • Demonstrated capacity to offer competitive corporate rates
  • Commitment to accessibility and inclusivity standards
  • Strong client support and turnaround times

5. Submission Requirements:

Interested vendors should submit:

6.1 Technical Proposal

  • Company profile (including years of experience)
  • Description of services offered
  • Geographic coverage and hotel network
  • Sample list of partner hotels (preferably 3-star)
  • Approach to accessibility and inclusion
  • References from at least 3 corporate/NGO clients

6.2 Financial Proposal

  • Service fees/commission structure
  • Sample hotel rates in key locations (especially Nairobi/Westlands)
  • Conference package rates
  • Corporate discount structures

6.3 Supporting Documents

  • Certificate of incorporation
  • Tax compliance certificate
  • Trade license

7. Terms and Conditions:

  • CBM Global reserves the right to accept or reject any proposal without providing reasons
  • This RFQ does not constitute a contract
