Greening strategy:
Acted’s greening strategy aims to tackle environmental degradation and climate change while meeting the needs of the most vulnerable who are often those most affected by the deepening environmental crisis. ACTED PSEAH Policy:
(Area HR and Admin Assistant) has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The (Area HR and Admin Assistant) has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organizational policies or codes of conduct according to Acted’s procedures. The (Area HR and Admin Assistant) carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers.

Job Purpose
Operation Support Assistant is responsible for supporting IMPACT projects and provide the IMPACT/REACH team with assets, equipment and human resources support. This will include supports to REACH project and field teams in processing and tracking procurements and to IMPACT coordination in maintaining the IMPACT Office and Guesthouses. The Operations Support Assistant will Support information flow between REACH project and field teams and both IMPACT Finance and ACTED Logistics. Also, the Operation Support Assistant will also be tasked with support to the Operations Support Officer (HR) as required.
Duties and Responsibilities
The Operations support Officer is responsible for completing the following tasks:
Logistics:
- Supporting IMPACT Country Representative, Programme Operations Manager, and Research Managers with planning and organising of equipment and procurements for projects.
- Being aware of ACTED procurement guidelines and lead in times for procurement, and ensuring they are applied.
- Coordinating Order Forms for REACH projects to logistics team in Damascus or bases as relevant.
- Liaising with Acted logistics teams or the bases regarding the tracking and management of REACH stock and assets. This could include smart phones, laptops, printers, GIS equipment, cars.
- Supporting in the maintenance of the IMPACT Office and Guesthouse (maintenance requests, liaison with the landlord, utilities, and basic stock (tea, coffee, pens/paper, etc).
- Confirm and follow up on the general REACH stock of equipment and materials and point the needs of any on monthly bases.
Administration:
- Supporting REACH Operations Support Officer (HR) in tasks such as processing and follow up on daily labourer contracts.
- Supporting REACH team with leaves forms and different admin forms and follow up on their progress.
Other:
Following up with any task as requested by Operation Support management.

- The Office and Guest houses are well stocked, and maintenance occurs in a timely manner.
- Procurements are progressively tracked and followed up in a timely manner.
- Support to Operations Officer (HR and Finance) is under taken with attention to accuracy and deadlines
QUALIFICATIONS
- Bachelor’s university degree as minimum
- Fluent Arabic with excellent English (written and spoken)
- Excellent writing and communication skills
- 1 year work experience with an INGO in an emergency and/or development setting
- Ability to work under pressure in a high-pace environment
- Good organizational and prioritization skills
- Proficiency in Microsoft Office, Microsoft Excel and Outlook
- Strong interpersonal skills
- Strong analytical skills
- Operational Logistics/Finance working experience is a plus
