Job purpose
Ensuring that the center’s supplies and needs are secured with the required quality and in a timely manner, ensuring that all the organization’s policies and procedures are applied optimally, and creating and continuously updating a database of reliable suppliers.
Main tasks
- Ensuring the availability of sufficient and appropriate documentation for the organization’s policy, including (creating requests for quotations, analyzing quotations, purchase contracts, purchase orders, minutes of receipt of materials and services, and security verification for processing by the department management).
- Collecting offers and receiving bids related to purchasing operations according to documented receipt reports, archiving all offers, bids and reports and sharing them with the department management.
- Coordinating with selected suppliers for receiving and processing the necessary documentation for receiving and reviewing invoices submitted by suppliers.
- Complete the procurement process within the allocated timeframe and submit all necessary documentation to the department management.
- Archiving and preserving all documentation related to procurement operations through paper archives and electronic archives.
- Facilitating procurement processes in accordance with the organization’s procurement policy and standard operating procedures.
- Facilitating procurement committee meetings in accordance with the department management’s directives.
- Follow up on the closing of procurement processes with the department management and monitor the arrival of financial payments to suppliers on time.
- The list of approved suppliers is updated periodically based on contracts and purchase orders issued by the organization, and support is provided in evaluating suppliers.
- Conducting market surveys according to the requirements of the relevant department and sections, in addition to periodic surveys of periodic purchases.
- Managing the organization’s fleet by organizing vehicle route plans, monitoring their implementation, and submitting vehicle route schedules on a monthly basis within its operational documentation.
- Managing the logistics operations of the centers according to the directives of the department management and the direct administration.
- Asset management, including warehouses, inventory of tangible resources, development of the storage system, and asset tracking, in accordance with the department’s management directives.
- Conducting a periodic inventory of the organization’s assets and tangible resources and reflecting the results through an asset and tangible resource tracking schedule.
- The task tracking system is updated daily according to the department management’s instructions.
- Any other tasks that may be assigned by the department management or direct management.
Qualifications required for the job
- A university degree in a relevant field or a high school diploma with at least four years of experience in the field of supply chain and procurement.
- Work experience in the field of procurement and logistics of no less than two years.
- At least two years of experience working with non-profit or humanitarian organizations.
- Previous experience working on projects related to supporting and protecting women and girls.
Personal skills
- Organization and the ability to perform multiple tasks flexibly.
- Good skills in using relevant computer programs and advanced Excel experience.
- Good English language skills.
- Adherence to the principles and procedures of humanitarian work.
- Commitment to the organization’s vision, mission, and goals.
- Adherence to the code of conduct.
