The Danish Refugee Council (DRC) is one of the world’s leading humanitarian NGOs, working in more than 40 countries to provide appropriate, rights-based assistance to refugees, asylum seekers, internally displaced persons, returnees, and migrants. DRC has been present in Colombia since 2011, but in 2018 it expanded its operations in response to the Venezuelan crisis. Currently, DRC Colombia is implementing a protection-focused humanitarian response for Venezuelan refugees and migrants, as well as returning Colombians, in Colombian cities such as Riohacha, Barranquilla, and Bogotá. It is also currently expanding its activities to Nariño and Norte de Santander.
Job Overview: Under the supervision of the Support Services Leader and with technical support from the Support Officers, the Support Services Assistant will be responsible for providing administrative and operational support to the Ocaña office, extending their support to the Aguachica base as well. Their role will emphasize purchasing, logistics, and inventory management, contributing to the efficient operation of the Supply unit. They will also provide cross-functional support to other areas as needed, ensuring compliance with DRC policies and procedures at all times.
Responsibilities:
Support for the Supply Chain and Purchasing area:
- To support the execution of the processes of acquiring goods and services, from the request to the final delivery.
- Prepare and file the documentation required in the purchasing processes according to DRC guidelines.
- Ensure compliance with logistics and purchasing procedures at the base.
- Verify the physical deliveries of purchased goods, validating quantity and quality against the terms of the contract.
- Ensure follow-up on pending deliveries, returns, and claims with suppliers.
- Support the timely payment of suppliers and verify the consistency between invoices and what has been received.
- Register and keep up-to-date the inventory of goods and assets, both physically and in DRC Dynamics.
- Participate in physical verifications and asset labeling.
- To assist with minor direct purchase procedures required by the operation.
Logistics and Operational Management:
- Support the execution of the annual purchasing plan and follow up on requisitions for goods and services.
- Make logistical requests for events, meetings, travel and needs of the area.
- Support in the procedures related to lodging, transportation and logistics for personnel and field activities.
General Support for Support Services
- Provide basic financial support, such as receiving supporting documents and organizing documentation.
- Support in HR administrative tasks (tests, interview scheduling, etc.).
- Manage general administrative activities: scanning, printing, photocopying, sending and receiving correspondence.
- Support in the organization of the physical and digital archive of the base.
- Coordinate the booking of internal or community spaces for meetings or activities.
- Supporting data entry and processes in DRC Dynamics.
- Fleet Management and Security (as needed)
- Support the control of vehicle fuel use and consumption.
- Track technical maintenance and usage records.
- Support with the updating of mobility reports for field personnel.
Experience Requirements:
- Minimum of 1 year of experience in similar roles, preferably in humanitarian organizations.
Requirements in terms of academic training and technical knowledge:
- Technical or technological training in administrative areas, logistics, commerce, or related fields.
- Advanced proficiency in office tools is essential.
- Organizational skills, attention to detail, and service orientation.
- Teamwork skills, initiative, and effective communication.
Languages:
- Spanish – Required
- Basic English preferred.
