Administrative Assistant At International Committee of the Red Cross

PURPOSE

Under the direct supervision of the F&A Manager, the Admin Assistant provides support to the general administrative and clerical task of the Finance and Administration department.

GENERAL DUTIES

  • Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
  • Understands and adheres to the ICRC Code of Conduct
  • Understands the roles of the components of the International Red Cross and Red Crescent Movement
  • Always respects and observes staff regulations and security rules
  • Represents the ICRC in a professional manner at all times
  • Develops and maintains a pleasant and conducive working environment with colleagues and line managers.
  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC.
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary.

ACCOUNTABILITIES AND RESPONSIBILITIES

  • Provides support to administrative and clerical task of Finance and Administration department
  • Scans documents and upload files to teamspace or other storage applications for archiving and/or filing.
  • Manages the Finance and Welcome databases ensuring the timely fulfilment of requests and transactions
  • Converts STM request to PDF once validation process is done for uploading in the accounting tool
  • Closes STM request once action is completed and validated.
  • Acts as back-up in the absence of the Cashier
  • In-charge of payment processing of Welcome invoices including completion of supporting documents
  • Books hotel accommodation for official field trips in nearby cities and provinces
  • Books airport taxi in Manila at ECLPI website for colleagues arriving and departing from Manila
  • Coordinates and assist the Premises clerk for administrative task
  • In-charge of the office supplies inventory including request for replenishment

SELECTION REQUIREMENTS

  • Basic knowledge of written and spoken English
  • Basic clerical skills
  • Basic knowledge of simple accounting
  • 1 to 2 years administrative background or similar field
  • Experience with international organization is an advantage
  • Basic knowledge of online office applications or MS software is an advantage
  • Ability to work with little supervision with quality performance
  • Fresh graduates are encouraged to apply
