AICS Emergency Project Coordinator At The Tree of Life Foundation

The Albero della Vita ETS Foundation is active in the humanitarian emergency resulting from the conflict in Ukraine, with interventions aimed at ensuring protection, multisectoral assistance, and access to fundamental rights for affected populations. As part of a project funded by AICS (Italian Agency for the Protection of Humanitarian Aid), the organization, acting as principal, is seeking a project coordinator to ensure the quality and coordination of the intervention.

Place of work : Ukraine (Dnipro/Kiev)

Direct supervision : FADV Desk Officer

Term of office : 15 months

Expected start : October 2025

Hiring: Collaboration Contract

Main Responsibilities:

The Project Manager is responsible for ensuring effective planning, coordination, and implementation of the project, ensuring that specific objectives in the areas of protection, health, and education are achieved to a high standard, on time, and in compliance with donor requirements. He or she directly coordinates national and international staff and partners and maintains strategic relationships with relevant authorities, schools, humanitarian clusters, and donor representatives. The position requires a period of fieldwork based in Dnipro with visits to Zaporizhzhya, and a period of residency in Kyiv (approximately 2 weeks in the field/2 weeks in Kyiv).

Specific activities:

Project Coordination and Operational Management

  • Develops detailed action plans and timelines for timely execution of activities;
  • Coordinates the planning and implementation of activities
  • Identifies and manages operational risks, proposing mitigation strategies;
  • Coordinates and supervises the activities of local partners and the ATS client.

Financial and Administrative Management

  • Oversees budget planning and monitors its execution, in collaboration with the Administrator;
  • Supervises and approves purchase requests, in line with the procurement plan;
  • Conducts monthly budget reviews, ensuring accuracy of accounting records;

Team Supervision and Human Resources Management

  • Coordinates the work of the project staff (national and international), ensuring consistency in action and motivation of the team;
  • Identifies training needs and promotes capacity building opportunities for staff;
  • Ensures compliance with the Code of Ethics, the Code of Conduct and the Safeguarding policies (including PSEA);
  • Contributes to the selection and onboarding process.

Monitoring, Evaluation and Reporting

  • Collaborates with the MEAL unit to develop and implement the M&E plan
  • Use and monitor the quality of data collection tools to measure the progress, impact, and quality of interventions;
  • Produces periodic narrative reports for donors and headquarters;
  • It contributes to the documentation of good practices and the capitalization of experiences.

Coordination of Partners and Institutional Relations

  • Facilitates collaboration between project partners, local authorities, educational and health institutions;
  • Drafts and negotiates MoUs and operational agreements with local authorities;
  • Represents FADV in coordination tables (e.g. Education Cluster, Health Cluster, Child Protection Working Group);
  • Promotes synergies with other actors to avoid duplication and encourage integrated interventions
  • Manages external communications at project level (events, visits, relations with local media).

Development and planning

  • Develop project proposals in line with emerging needs and donor guidelines (ECHO, AICS, UN, etc.);

Requirements:

  • Master’s degree in International Relations, Development Cooperation, or similar.
  • Minimum 5 years of experience managing complex, multi-sector projects in emergency contexts;
  • Consolidated experience in working with institutional donors (preferably AICS)
  • Previous experience in Ukraine or similar contexts is highly preferred.

Technical skills

  • Excellent knowledge of project cycle management practices (PCM, logframe, Gantt);
  • Familiarity with M&E tools, data collection, and qualitative and quantitative indicators.

Transversal skills

  • Collaborative and results-oriented leadership;
  • Intercultural communication skills;
  • Adaptability, resilience and ability to work in risky or resource-constrained environments;
  • Strong orientation towards strategic planning and a big-picture vision.

Languages

  • Excellent command of Italian and English (spoken and written);
  • Knowledge of Ukrainian will be considered an advantage.
