Grant Manager and Financial Reporting International Programs At Fondazione L’Albero della Vita

Fondazione L’Albero della Vita (FADV) is a non-profit organization that works in the fields of protection, migration, development, emergencies, and child protection.

Who are we looking for?

FADV is seeking a Grant Manager and Financial Reporting International Programs to join its operations at its Milan headquarters. The selected candidate will be responsible for ensuring the proper administrative, financial, and logistical management of international projects, in compliance with FADV internal regulations and institutional donor requirements.

The Grant Manager and Financial Reporting International Programs works closely with the Calls and Programs Department at the Milan headquarters and with the teams at Fondazione L’Albero della Vita’s international offices. Availability to travel promptly is essential if the project locations are abroad.

Main activities:

Administrative and Accounting Management

  • Oversee local administrative procedures and ensure uniformity and compliance with FADV and donor directives
  • Coordinate financial reporting: prepare interim and final reports, verify supporting documents and compile financial statements according to established deadlines
  • Manage daily accounting, expense tracking, and bank flows (openings, closings, and reconciliations)
  • Ensure that all funded projects comply with the regulations of the main funders (AICS, OCHA, ECHO, Ministry of the Interior, European Commission, UNICEF, IOM, etc.).

Logistics and Asset Management

  • Coordinate the purchase and maintenance of capital goods and project logistics;
  • Manage inventory, transfers, and dispositions according to local regulations and donor policies.

Design and Budgeting Support

  • Collaborate in the preparation of project budgets, participate in the drafting of budget variations and necessary financial extension documents;
  • Provide consultancy in preparing project proposals, also in partnership with the headquarters in Italy.

Donor Relations and Audit

  • Represent FADV in relations with donors and their representatives (e.g. AICS, EU, UN), ensuring compliance with reporting rules.
  • Support and monitor audit processes (internal and external), responding to any requests for clarification on accounting data.

Coordinamento e Capacity Building

  • Train and supervise local administrative staff, enhancing their operational and accounting skills;
  • Facilitate monitoring visits to project sites, providing administrative support and speeding up field management.

Security and Policy Compliance

  • Collaborate in the implementation of FADV safety and safeguarding policies (e.g. Child Safeguarding, PSEA) on the administrative side.
  • Ensure that procedures comply with local regulations and the organization’s transparency policies.

Requirements:

  • Availability to travel internationally (Asia, Africa, Latin America, Ukraine) to project locations is essential.
  • Bachelor’s degree (preferably in Economics, Management, International Cooperation, or similar). Specific courses in cooperation project management will be an added value.
  • At least 10 years of administrative and financial management experience in projects or offices abroad; previous experience in NGOs is strongly preferred.
  • Knowledge of institutional donor guidelines (e.g. AICS, EU, UN) and applicable accounting regulations
  • Excellent use of the Office package, especially advanced Excel.
  • Adherence to the vision and mission of L’Albero della Vita and to our Child Safeguarding policy

Languages â€‹â€‹:

  • Italian (native speaker)
  • Excellent knowledge of English (written and oral).
  • Knowledge of an additional language (e.g. Spanish, French, etc.) will be considered a plus in specific contexts.

  • Planning, problem-solving, operational autonomy and stress management skills;
  • Ability to work towards objectives, critical thinking, ethics and flexibility;
  • Ability to interact with diverse audiences and work in multi-sector and intercultural contexts;
  • Ability to coordinate heterogeneous teams.

Hiring: National Collective Bargaining Agreement for Commerce, full-time (38 hours) (further details regarding the duration of the contract and salary level will be discussed and confirmed during the interview and based on the experience of the selected candidate).

Place of work: Central Office in Milan with frequent trips to project locations.
