Description of the area to which the service is limited
The Service is subscribed to the Financial Area of ​​the LWF – Colombia Venezuela Program, which is led by the Binational Financial Management, responsible for the coordination, planning, organization, analysis and assurance of an efficient and effective programmatic operation of the LWF/SM COL-VEN and the projects developed, from the higher institutional objectives preserving its mission and vision.
Coordinates its activities with:
- Field Leader Delta and Sucre (East)
- Project Finance and Accounting Officer
- Project team in Delta Amacuro and Sucre
- Administrative, financial, and programmatic team in Venezuela.
Location
Based in Sucre, Venezuela . However, you must be available to travel within the country and/or wherever required to carry out the activities inherent to the Service.
Service objective
Provide substantial support in planning, organizing, coordinating and ensuring efficient and effective recording and analysis of all accounting processes of the FLM Program – Venezuela Program and its projects
Description of activities:
MANAGEMENT
- Responsible for recording and accruing income, expenses, accounts receivable and payable, depreciation, etc.
- Record project financial transactions reliably and in a timely manner
- Organize and maintain up-to-date accounting and financial files, both physical and electronic.
- Perform bank reconciliations.
- Theoretical and practical knowledge of income tax and VAT withholdings. Accounting adjustments, when applicable (monthly).
- Process invoices ensuring that all information is accurate and timely.
- Knowledge of billing regulations according to the administrative provision of SENIAT.
- Review travel and per diem reports and provide appropriate feedback.
- Prepare payment requisitions and prepare batches at the bank for payment authorization.
- Prepare cash receipts, electronic payments, expense vouchers, accrual vouchers, adjustment vouchers, etc.
- Support the analysis of accounting accounts, providing alerts and providing solutions and improvements
- Support the control and monitoring of accounting accounts and their conversion to IFRS.
- Support the theoretical and practical training processes in accounting knowledge for the FLM VE Staff
- Support the preparation of all financial and administrative reports and processes required to be submitted monthly, quarterly, and annually to partners, donors, and parent company, as well as compliance with donor, project, and LWF VE regulations.
- Supporting cash flow monitoring in banks
- Actively participate in team, administrative, and joint planning meetings
- Responsible for controlling and monitoring accounting accounts
- Substantially support the operational functioning of the Office
- Support the control of equipment inventory files
- Be responsible for good management of the advances made for different activities or trips
- Carry out travel reports for advances under their responsibility, fulfilling the donor’s requirements and the administrative procedures of the LWF.
- Petty cash audits in specific cases.
- Review all attendance lists and workshop lists for the projects attached to the presentations submitted by the professionals.
GENERAL RESPONSIBILITIES
- Ensure the effective implementation of the LWF security policy and ensure the implementation of the LWF Codes of Conduct and other institutional policies within the framework of the project.
- Strictly comply with LWF/SM-CO procedures, manuals, and policies.
- Ensure proper cash management for travel advances for activities. Complete travel reports that comply with donor requirements and LWF administrative procedures.
- Ensure proper compliance with the administrative and control procedures applicable to them, within the scope of their activities within the framework of the specific project and FLM policies.
- Comply with LWF procedures, manuals, and policies, including the Codes of Conduct, Safety and Security Policy, Security Manual, Child Protection, and any other provisions established by the LWF.
The LWF has zero tolerance for sexual exploitation and abuse, and all staff have a duty to comply with and promote the LWF Protection from Sexual Exploitation and Abuse (PSEA) Policy in the conduct of all activities.
Professional Requirements
Level of Education
- We are looking for students or technicians in the final semesters of their undergraduate studies in accounting, administrative economics, and/or related fields.
Work Experience
- Demonstrable experience of at least one (1) year in accounting and administrative functions related to the position.
- Desirable experience of one (1) year of successful actions in highly complex projects.
- Work experience in Sucre is desirable.
Languages ​​and office automation
- It is essential that you read, speak, and write Spanish, whether as a native language or with proven advanced fluency.
You have excellent command of spreadsheets, word processors, the Internet, and office tools.
