Description of the area to which the position is limited

This position reports to the Operations Area of ​​the FLM – Colombia Program, which is led by the Operations Manager. The position reports directly to the Procurement and Logistics Officer and will maintain close coordination with the Financial and Administrative Area, as well as the project and regional teams.

Location

Based in the Quibdó office , however, you must be available to travel to the departments where FLM/SM COL VEN has work, in the country or abroad, and where it is necessary to carry out the functions inherent to your position.

Job Objective

Provide logistical and administrative support to the project team, both in the office and remotely, ensuring the smooth execution of activities through resource management, support in administrative processes, document handling, and monitoring of scheduled activities. This role contributes to the operational efficiency of the project, enabling the various components to be executed in an orderly, efficient, and traceable manner.

Description of activities:

MANAGEMENT

  • To coordinate in a practical and efficient manner the logistical and administrative requirements in the field and in the office, facilitating the fulfillment of the project objectives.
  • Act as an operational liaison between the field team and the office, ensuring timely documentation and the necessary support for the development of activities.
  • Represent the organization to community stakeholders and local suppliers when delegated, with a respectful, ethical and service-oriented attitude.
  • Support the logistical organization of field activities: transportation, food, delivery of materials, workshops, community days, etc.
  • Collect, classify and archive supporting documents (minutes, lists, invoices, records), both in physical and digital format.
  • Support in the reporting of minor expenses by collecting and organizing accounting documents.
  • Manage the delivery and receipt of materials and supplies, maintaining basic inventory control on site.
  • Support the technical team in the logistical preparation of the missions (kits, materials, schedule, transport).
  • Ensure the responsible and orderly use of the resources and information under your charge.

GENERAL RESPONSIBILITIES

  • To ensure the effective implementation of the FLM’s security policy and to oversee the implementation of the Codes of Conduct and other FLM institutional policies within the framework of the project
  • Strictly comply with FLM/SM-CO procedures, manuals, and policies.
  • Responsible for the proper handling of cash for travel advances related to activities. Prepare travel expense reports that meet donor requirements and FLM administrative procedures.
  • To ensure compliance with the corresponding administrative and control procedures, within the development of their activities within the framework of the particular project and the policies of the FLM.
  • Comply with FLM procedures, manuals, and policies, including the Codes of Conduct, Safety and Security Policy, Safety Manual, Child Protection, and others as determined by FLM.
  • The FLM has zero tolerance for sexual exploitation and abuse, and all staff have a duty to comply with and promote the FLM’s Protection Against Sexual Exploitation and Abuse Policy (PEAS); in the performance of all duties and responsibilities.

Professional Requirements

Level of Education

High school diploma required; technical or technological studies in logistics, administrative management, administrative assistance and/or related fields are desirable.

Work Experience

  • Minimum experience of six (6) months in logistics and administrative functions, preferably in social projects.
  • Desirable experience with indigenous, displaced, confined and host populations.
  • Desirable work experience in the Choco Department

Languages ​​and office automation

  • It is essential that you read, speak and write in Spanish, either as your native language or with proven advanced fluency.
  • Information Tools Management

Other required knowledge and skills

Knowledge:

  • To have an understanding of the dynamics of the armed conflict in Choco and its humanitarian impact.
  • Basic knowledge in document management, inventories, expense reporting and operational support.
  • Basic computer skills (Excel, Word, scanner, email).
  • Ability to work in a team, adapt to diverse tasks and maintain order and traceability of information.
  • Sensitivity towards working with Afro-descendant, indigenous and host communities.
  • Commitment to ethics, organization, transparency and humanitarian principles.
  • Availability to travel to hard-to-reach rural areas and remain in the field as required by the project.
  • Excellent written and oral communication skills.
