Hand in Hand for Aid and Development (HiHFAD) is a Non-Profit, Non-Governmental, Charitable Incorporated Organization registered in the United Kingdom and in Türkiye (TR: İyilik İçin El Ele Derneği) that provides high standards in humanitarian and relief services to the most vulnerable wherever needed through local engagement and global support.
Established in 2011 by a group of British-Syrian diaspora, HiHFAD was born out of a desire to extend a helping hand to vulnerable groups and displaced families in Syria and beyond. Since then, HiHFAD remained at the forefront of humanitarian agencies, providing life-saving aid to Syrians in hard-to-reach areas. Our extensive Healthcare Program has enabled us to expand and reach even more communities and internally displaced people; providing a comprehensive, integrated multi-sectoral intervention in Health, Nutrition, WaSH (Water, Sanitation and Hygiene), Protection, Shelter, Non-Food Assistance, Food Security, Livelihoods, and Education.
HiHFAD mandate is to alleviate the suffering of those in need without any type of discrimination, protect the most vulnerable, promoting social justice and welfare, and fostering durable solutions through delivering community-based humanitarian and development interventions.
Job overview
The HR Assistant provides administrative and clerical support for the implementation of HR functions, including filing, data entry, documentation, and basic coordination tasks. This role supports both field and HQ-level operations, ensuring smooth execution of HR procedures and proper record-keeping in compliance with organizational policies and safeguarding standards.
Main Tasks & Responsibilities
1. Administrative HR Support:
• Prepare, organize, and maintain physical and electronic HR records, ensuring confidentiality and accuracy.
• Assist in collecting and verifying documents for recruitment, onboarding, and staff exits.
• Follow up on timesheets, leave requests, and attendance records as per deadlines.
• Ensure that all HR templates and forms are updated and accessible for staff use.
2. Recruitment and Onboarding:
• Schedule interviews and communicate with candidates as instructed by the HR Officer or Coordinator.
• Support logistics and documentation for new staff orientation and induction sessions.
• Prepare personnel files and ensure all documents are complete before staff start date.
3. Data Entry and Reporting:
• Input HR-related data (e.g., leave, attendance, contract status) into HR databases or trackers.
• Assist in preparing simple HR reports or summaries upon request.
• Track expiry dates for contracts, IDs, and probation periods under supervisor guidance.
4. Communication and Staff Services:
• Respond to routine HR inquiries from staff related to documents, forms, or basic procedures.
• Distribute HR communications, memos, and awareness materials at the field or HQ level.
• Coordinate logistics for HR trainings, staff events, and awareness sessions.
5. Safeguarding and Policy Compliance:
• Uphold confidentiality and sensitivity in handling employee information.
• Ensure HR communications and interactions promote a safe, inclusive, and respectful work environment.
• Support the dissemination of Code of Conduct, safeguarding materials, and PSEA awareness tools.
Background Knowledge & Experience
Education Level: Bachelor’s degree in a related field is Prefered.
Work Experience: minimum 1 years in Human Resources
Languages: English: A2 Arabic: C2
Skills and Abilities
• Ability to multitask and prioritize workload under pressure
• Good communication skills
• High attention to detail and accuracy in data handling
• Proficiency in MS Office (Excel, Word, Outlook) and HR systems
