Grants Manager At Geneva International Centre for Humanitarian Demining

The Grants Manager assumes a management role within the GICHD, focusing on donor reporting and relations. This position is crucial in providing high-quality funding requests and reports to donors. The Grants Manager will lead a team and collaborate closely with Project and Programme Managers, Advisors, and associated project staff, ensuring effective communication with Heads of all GICHD divisions.

Responsibilities

Reporting Schedule Management

  • Develop, lead, and monitor the reporting schedule, ensuring timely input from relevant divisions.

Management of Grant Management Systems

  • Develop and maintain processes and procedures for robust grant management systems.
  • Provide leadership in overseeing and optimizing the effectiveness and efficiency of grant management protocols.

Donor Compliance Oversight and Management

  • Maintain an accurate, up to date understanding of donor requirements, rules, and procedures.
  • Provide leadership in highlighting potential donor compliance issues to relevant Heads of Division and Project Managers and contribute to organizational capacity building tied to donor compliance.
  • Collaborate with General Counsel & Safeguarding Manager to ensure new/updated compliance-related requirements from donors are in line with relevant GICHD policies.

Template Development and Management

  • Lead the development and maintenance of reporting templates according to donor requirements.
  • Facilitate inputs with relevant Heads of Division and Project Managers, ensuring alignment with organizational and grant goals.

Narrative Reporting Coordination

  • Lead the coordination of narrative donor reports, ensuring quality control for smooth preparation and completion.
  • Provide guidance and leadership in editing narrative inputs from Project Managers and/or Heads of Division.
  • Oversee and evaluate grant financials ensuring timely completion and submission.

Donor Engagement and Effective Communication

  • Contribute to discussions and visits with donor counterparts.
  • Oversee day-to-day communication with the Centre’s donors at the working level, in coordination with GICHD donor stewards.
  • Address important issues and provide advice to the relevant Project Managers or Head of Divisions.
  • Collaborate with the Communications Manager to ensure that donor visibility and representation are consistently accurately depicted in GICHD external communications.
  • Engage with private donors as required.

Internal Tracking Systems Management

  • Lead the maintenance and refinement of the Centre’s internal grants tracking systems and associated processes, including but not limited to: relevant active grant deadlines for implementation and reporting; status of new grant concept note and proposal submissions; monitoring of outreach with potential donors; etc.

Funding Opportunities Overview Management

  • Manage an up-to-date overview of funding opportunities, identifying linkages with the funding needs of various GICHD projects, and aligning with the GICHD Strategy.
  • Monitor current and potential donor updates regarding national strategic plans related to Explosive Ordnance Risk Reduction (EORR), priority countries for implementation and all other relevant policy-related updates that may influence donor funding allocation decisions.

Grant Proposal Development

  • Lead the drafting, with inputs from relevant GICHD Divisions, of high-quality funding concept notes and proposals that reflect the work and values of the GICHD, cultivating interest and confidence from new and existing donors.

Strategic Contribution to Decision-Making

  • Lead the contribution to the decision-making process for developing new funding requests (‘Go-No-Go Decision’) in line with GICHD strategy and close collaboration with resource mobilization group members.

Effective Leadership of the Grants Management team

  • Lead all grants-related activities with the Grants Management Associate and the Grants Management Officer.
  • Guide the team while exemplifying a spirit of collaboration throughout the entire organisation.
  • Cultivate a culture of entrepreneurship within the team.

Other Responsibilities

  • Lead and oversee the editing and quality control of GICHD publications and articles in collaboration with the Communication team.
  • Provide strategic input into annual operating plans and results-based project management systems.
  • Ensure gender, equality, inclusion, and diversity considerations are strategically mainstreamed in GICHD donor communications.
  • Provide leadership in liaising with the Finance Division to ensure coherence between provided financial information for reporting, concept notes and proposals.
  • Participate in ad-hoc GICHD missions and events, providing leadership support and liaison as required.
  • Oversee and provide leadership in other relevant tasks as assigned or approved by the HoD.

Job Requirements

  • University master’s degree in international relations, development, or social sciences.
  • Minimum 5 years of managing grants and leading a team.
  • In-depth knowledge and experience in developing funding requests for institutional donors.
  • Ability to provide strategic technical advice and information.
  • Proven ability to lead in preparing multiple funding applications and writing detailed and compelling proposals.
  • Excellent written narrative and oral communication skills, specifically in English.
  • Proven leadership in donor relations at the working/operational level with public and/or private donors for INGOs, NGOs, Foundations, or large international entities.
  • Strong interpersonal skills, with a proven ability to lead and work effectively with a wide range of constituencies in a diverse organization.
  • Analytical skill set and proven ability to analyse and interpret financial data.
  • Leadership competence in project management; ability to strategically coordinate simultaneous activities/projects.
  • Proven ability to respect and promote gender equality and the inclusion of diversity in communication material.

Salary Information

Please note that the salary level for this role starts at CHF 120’776 yearly gross, subject to social security deductions and income tax. The GICHD applies a progressive salary scheme The compensation policy is currently under review and is subject to change. This is an open-ended contract.
