JOB OBJECTIVES:
Reporting to the Logistics Director, as a Logistics Support Officer, you will ensure the control and compliance of procurement and logistics management processes for programs, while providing operational support to the teams. You will also manage the administration and deployment of logistics tools, as well as the management of documentation resources and user support.
The position contributes to the continuous improvement of practices, the harmonization of standards, and the dissemination of procedures and tools within programs.
You are also a purchase signatory for the service.
In this context, your main responsibilities will be:
- Internal control
- Perform checks on purchase files and framework files for Programs requiring headquarters control (as defined in each program’s procurement procedures)
- Implementation of the detection of illicit activities (supplier screening) in accordance with the Institutional Policy and the applicable ARCI.
- Clearly communicate to the Programs the required corrections, proposed improvements and explanations to be made on the reviewed files where applicable.
- Ensure that the applicable rules and authorized signatories for file verification are made available by the programs.
- Recommend adjustments to control levels based on identified risks, to the Programme and headquarters focal points.
- Contributes to the automation of file checks.
- Link catalog management
Manage the content of the Link catalog
- Connecting you with specialists
- Schedule and lead meetings with the technical teams
- Organize the different categories of Link
- Create the missing articles using data from the technical teams
- Archive obsolete articles
- Communicating with the catalogue managers of other associations on the Link platform
Providing support in the deployment of digital tools
- Update the various documents needed for the deployment of digital tools.
- Ensure their distribution and collection
- Create and configure regions/countries/sites
- Create and configure user accounts before this responsibility is transferred to the programs in the short term.
- Train and support program teams in user account management
Providing support to users within the scope of the catalog
- Manage GLPI tickets
- Answer usage questions
- Update the guidelines and support videos
- Keep the user mailing list up to date
- Document resource management
Streamlining the management of standards (Facilities, Supply, Business)
- Maintaining the Document Repository
- Codification of existing documentary resources (tools, guides, etc.)
- Support the R standards for publishing in accordance with the graphic charter
- Inform R standards of outdated, inconsistent, or unclear content, in order to facilitate its reading and understanding.Managing communication platforms
- Publish documents on Hinside and SharePoint spaces.
- Publish communication articles in the different spaces
REQUIRED PROFILE:
- You already have experience in logistics support, supply chain or procurement management (ideally in an NGO, humanitarian or international environment)
- You have skills in purchasing processes, managing supplier files or framework contracts
- You know how to manage data, simple configuration, and update repositories.
- You are comfortable communicating within the department and with internal clients.
- You are rigorous, pragmatic and organized.
- You have a very good level of French and English (written and spoken)
WORKPLACE ACCESSIBILITY:
The premises are easily accessible by public transport (bus, metro). Car park and bicycle parking are also available. Within the building, access ramps and elevators ensure smooth circulation. All workstations are located in an open-plan area, but quiet booths are available on each floor for those who wish to work in peace and quiet. The workspace is very bright.
