The Surveyor will be responsible for collecting, digitizing, organizing, and ensuring the quality of the information generated during the execution of Acted’s projects in Puerto Ayacucho. They will perform several functions: first, they will gather relevant data related to project outcomes in the Livelihoods and WASH sectors; and second, they will be responsible for transcribing, cleaning, and structuring this information in designated databases.
ROLES AND RESPONSIBILITIES
• The Surveyor ensures adherence to
ACTED’s humanitarian principles, policies, tools, processes, manuals, guidelines and codes.
• To ensure optimal compliance with the required surveys, the Surveyor must complete the forms through KOBO on a mobile device in the field. The Surveyor will have the support of the team of mobilizers to assist in the communities, as well as being in constant communication with the Field Coordination and the MEAL officer.
• The ACTED interviewer is responsible for ensuring that all interactions with beneficiaries and/or their constituents are conducted in a respectful and consultative manner. Due attention must be paid to ensuring that respondents are adequately consulted and informed about the surveys to be conducted.
• The Surveyor must use the usernames/passwords, campaigns, and questionnaires assigned to them responsibly and transparently to ensure compliance with a daily quota of effective surveys conducted with the beneficiaries of the communities assigned to them.
• The Surveyor will maintain strict confidentiality of all information to which he or she has access and knowledge due to the development of surveys and that is of a private, confidential nature, or whose communication could cause harm, ensuring full compliance with ACTED’s data protection policy and standard operating procedures.
• The Surveyor will inform the field coordinator and the AME officer of the number of surveys conducted daily after completing the daily survey collection and will also upload all completed forms to the cloud.
• Data Transcription: Perform accurate and efficient transcription of information contained in various formats (physical documents, minutes, forms, surveys, audio, etc.) to databases and spreadsheets, ensuring the integrity of the records.
• Data Cleansing and Normalization: Identify, cleanse, and correct erroneous, inconsistent, or
duplicate data. Standardize information to ensure uniformity in formats, terminology, and
structures, thus facilitating subsequent processing and analysis.
• Data Quality Assurance: Implement and execute rigorous verification and validation processes (double entry, cross-checking) to ensure the accuracy, completeness, and reliability of the transcribed information, conducting periodic audits.
• Error Mitigation: Develop and implement proactive strategies to prevent the introduction of errors during the scanning process.
• Document Management: Systematically organize, classify, and archive both
physical source documentation and the resulting digital records, ensuring traceability,
security, and easy access to project information.
• Communication: Maintain fluid, clear, and proactive communication with the project team,
especially with the MEAL Assistant, to clarify doubts, report anomalies, and ensure consistency in the flow of information.
• Additional Support: Carry out any other tasks or activities related to the management and processing of information assigned by the MEAL Assistant, contributing to the achievement of the project objectives.
GENERAL RESPONSIBILITIES OF ACTED
ACTED will provide the files, access, information, and tools necessary for the surveys to be conducted effectively and with the expected quality. Once work begins, ACTED will provide access to mobile devices for the surveys and for completing the forms for each survey. ACTED will be responsible for providing this equipment and for mobilizing the surveyors to the communities to administer the instruments. The surveyor will be responsible for hydration and food logistics.
EXECUTION SCHEDULE
The survey development services – on an alternating basis for this ACTED project in Amazonas, Venezuela – must be completed within a maximum of 8 business days (October) from the date the contract is formalized and ACTED delivers the necessary inputs (files, access points, information, and platforms) to begin the activities.
QUALIFICATIONS OF THE PERSON / INTERVIEWER
Profile:
Technicians and/or professionals with experience conducting in-person and/or remote surveys using software and web applications/mobile devices such as Enketo, ODK, KoboToolBox, Excel, based in the city of Puerto Ayacucho, Amazonas state.
Experience and Qualifications:
– Minimum of two (2) years of technical and/or professional experience;
– Relevant work experience in social work or project implementation in emergency contexts, preferably within United Nations agencies, NGOs, and international or national organizations.
– Minimum of one (1) year of specific experience conducting surveys, either in person or remotely.
– Demonstrate understanding and mastery of information and communication technologies.
Desirable:
– Experience in social projects or in the humanitarian sector;
– Skills and knowledge in managing advanced information and communications technologies;
– Experience working in complex environments;
– Experience working in social work in indigenous communities;
– Willingness to assist and provide service to the ACTED office in Puerto Ayacucho, Amazonas State, Venezuela.
Skills:
Proficiency in information and communications technologies; social and communication skills; knowledge of the Enketo-KoboToolBox web application, Google Drive, and Teams; and advanced knowledge of Excel and Office suites.
