Job Purpose

The Project Coordinator is responsible for supporting the planning, coordination, implementation, and monitoring of humanitarian and development projects in Aleppo. The position ensures effective coordination between program teams, technical departments, support functions, partners, and stakeholders to facilitate timely and quality project delivery.

The Project Coordinator will provide operational and technical support throughout the project cycle, including proposal development, implementation follow-up, reporting, documentation, and coordination with relevant stakeholders.

Key Responsibilities

Project Coordination and Implementation

  • Support the Project Manager in the planning, implementation, and monitoring of project activities.
  • Coordinate daily project activities with technical teams and field staff to ensure timely implementation.
  • Follow up on project work plans, activity schedules, and deliverables.
  • Identify implementation challenges and support the development of solutions.
  • Ensure project activities are implemented according to organizational procedures, donor requirements, and humanitarian standards.

Proposal Development and Grant Support

  • Support the development of high-quality project proposals, concept notes, and funding applications.
  • Collect and analyze relevant program information, needs assessments, beneficiary data, and contextual information to support proposal development.
  • Coordinate with technical teams to gather inputs for proposals, budgets, logframes, and activity plans.
  • Contribute to donor mapping, funding opportunities tracking, and project design processes.
  • Ensure proposals reflect community needs, humanitarian priorities, and sector standards.

Reporting and Documentation

  • Support the preparation of internal and donor reports, including narrative updates and progress reports.
  • Maintain accurate project documentation, including activity records, meeting minutes, success stories, and lessons learned.
  • Track project indicators and support timely reporting of achievements and challenges.
  • Support the preparation of presentations and project updates for internal and external stakeholders.

Coordination and Communication

  • Coordinate effectively with project teams, technical specialists, MEAL, finance, logistics, and procurement departments.
  • Support communication with local authorities, community representatives, partners, and other relevant stakeholders.
  • Participate in coordination meetings and represent the organization when delegated.

Monitoring, Evaluation, Accountability and Learning (MEAL)

  • Work closely with the MEAL team to support monitoring activities and data collection.
  • Ensure project documentation supports accountability and learning processes.
  • Contribute to identifying lessons learned and recommendations for improving project implementation.

Administrative and Operational Support

  • Support procurement planning and follow-up in coordination with relevant departments.
  • Assist in monitoring project expenditures and implementation progress.
  • Follow up on pending operational issues affecting project delivery.

Other Responsibilities

  • Support emergency response activities when required.
  • Perform any other duties assigned by the supervisor.

Required Qualifications

  • Bachelor’s degree in Project Management, Development Studies, Social Sciences, Business Administration, Engineering, or a related field.
  • Training or certification in project management is an advantage (PMD Pro, PMP, PRINCE2, or equivalent).

Experience

  • Minimum 3 years of experience in project coordination, project management support, or program implementation within humanitarian or development organizations.
  • Demonstrated experience in preparing project proposals and concept notes.
  • Experience working with donor-funded projects is an advantage.
  • Experience coordinating multi-sector humanitarian activities is preferred.
