Support Officer – Access to Care Conference, Brussels (m/f/x) At Doctors of the World – Belgium

WHO ARE WE ?

Médecins du Monde is an international medical development NGO that is part of an international network. We provide medical assistance to vulnerable groups in Belgium and around the world.
We strive for universal health coverage where everyone has access to care, without barriers (financial, cultural, geographical, etc.).

In Belgium and around the world, our projects are aimed at all those who do not have or no longer have access to healthcare. In particular, they are structured around five axes: people on the margins of society (homeless people, undocumented people, drug users, sex workers, etc.); children in vulnerable situations; women (supported in their fight for equality or against sexual violence, for example); migrants or displaced persons; and victims of crises or conflicts.

To carry out our mission, we rely on three pillars:

  • Bearing witness : We do not remain silent. Thanks to our experience and our presence on the ground, we challenge the authorities (local, regional and (inter)national) with facts, figures and realities.

CONTEXT

As part of the “Change” pillar , Médecins du Monde is organizing a scientific conference on access to mental health care in Brussels on Wednesday, November 26, 2025 .

Through this first conference supported by the Health Horizons collective , we wish to bring together civil society, academic and institutional circles, via presentations, a round table, poster presentations and discussions in sub-groups.

We are looking for a support officer to ensure the preparation, coordination and practical follow-up of this event , including the conference and a dinner bringing together around 100 participants.

This position reports to the TOOLINE1 project coordinator.

DUTIES & RESPONSIBILITIES

Activity management

Ensure financial monitoring and proper logistical coordination of the event.
Examples of tasks:

  • Implement activities according to the established budget
  • Supervise on-site logistics (rooms, equipment, signage, security, catering).

Communication and mobilization

Ensure visibility and participation in the event.
Examples of tasks:

  • Prepare and distribute invitations and communication materials (program, emailing, social networks).
  • Monitor registrations and manage participants.
  • Manage the relationship with stakeholders and partners (civil society, academics, institutions).

Coordination of the process and operational monitoring

Manage the organization and ensure smooth running on the day.
Examples of tasks:

  • Define and coordinate the schedule (conference, round table, workshops, dinner).
  • Coordinate technical aspects (audiovisual, translation, presentation material).
  • Provide a post-event assessment (report, budget analysis).
  • Provide a report on the event (to be defined: qualitative evaluation and transcriptions of discussions)

YOUR PROFILE

Training and technical skills

  • Higher education (bachelor’s or master’s degree) in communication, project management, events or equivalent .
  • Experience in organizing events (scientific, conferences, seminars, etc.) is a plus.
  • Proficiency in budget monitoring and office tools (Excel, Word, PowerPoint).
  • Good writing and communication skills.
  • Languages: French (excellent command), Dutch and/or English (passive comprehension required, command is an asset).
  • Good command of digital registration and communication tools (e.g. Eventbrite, Mailchimp, Canva).

Cross-functional skills

  • Excellent organizational and planning skills.
  • Stress management and responsiveness to the unexpected.
  • Good interpersonal skills and ability to negotiate with different people.
  • Autonomy and initiative.
  • Ability to work in a team and network.
  • Results and solutions orientation.

WE OFFER

  • Fixed-term contract at 50% (19.5 hours/week) until 12/19/2025
  • A gross salary of €1,411.78 for 0 years of experience; a gross salary of €1,483.79 for 5 years of experience; a gross salary of €1,513.62 for 10 years of experience. Relevant experience recognized.
  • Restaurant vouchers (€8 including €1.09 per employee and €6.91 per employer) – Hospitalization insurance – 100% reimbursement of public transport costs.
  • Holidays (to be prorated): 20 statutory days + 6 RTT days + 4 extra statutory days between Christmas and New Year
  • Job location: Brussels
  • Start date: As soon as possible
