DRC PRESENTATION.

DRC established an operational presence in Colombia in 2011, focusing on Humanitarian Mine Action (HMA) and supporting the conflict-affected population in the south of the country. With the onset of large mixed migration flows to Colombia due to the Venezuelan crisis, DRC initiated an integrated humanitarian response in 2018 to meet the urgent needs of refugees, asylum seekers, migrants, Colombian returnees, and host communities in some of Colombia’s most vulnerable areas, including the Caribbean coastal areas (Riohacha and Barranquilla), urban centers (Bogotá and Cundinamarca), and Caquetá. In 2021, DRC opened field offices on the South Pacific coast in the department of Nariño and in the northern part of Colombia in Norte de Santander.

JOB OVERVIEW: Under the supervision of the Support Services Leader and with the technical guidance of the Support Officers, the Support Services Assistant will be responsible for providing administrative and operational support to the Ocaña office, also extending support to the Aguachica base. Their role will emphasize purchasing, logistics, and inventory management, contributing to the efficient operation of the Supply Unit. They will also provide cross-functional support to other areas as needed, ensuring compliance with DRC policies and procedures at all times.

Responsibilities:

1. Support for the Supply Chain and Purchasing

  • Accompany the execution of the procurement processes for goods and services, from the request to final delivery.
  • Prepare and file the documentation required in the purchasing processes according to DRC guidelines.
  • Ensure compliance with logistics and purchasing procedures at the base.
  • Verify physical deliveries of purchased goods, validating quantity and quality against the terms of the contract.
  • Ensure follow-up on pending deliveries, returns, and complaints with suppliers.
  • Support timely payments to suppliers and verify consistency between invoices and receipts.
  • Record and maintain an updated inventory of goods and assets, both physically and in DRC Dynamics.
  • Participate in physical verifications and labeling of assets.
  • Accompany minor direct purchasing procedures required by the operation.

2. Logistics and Operational Management

  • Support the execution of the annual purchasing plan and monitor requisitions for goods and services.
  • Make logistical requests for events, meetings, travel, and area needs.
  • Support in arrangements related to lodging, transportation, and logistics for personnel and field activities

3. General Support to Support Services

  • Provide basic financial support, such as receiving supporting documents and organizing documents.
  • Support with HR administrative tasks (tests, interview schedules, etc.).
  • Manage general administrative activities: scanning, printing, photocopying, sending and receiving correspondence.
  • Support in the organization of the physical and digital archive of the base.
  • Coordinate the reservation of internal or community spaces for meetings or activities.
  • Support data entry and processes in DRC Dynamics.

4. Fleet Management and Security (as needed)

  • Support the control of vehicle fuel use and consumption.
  • Keep track of technical maintenance and usage records.
  • Support the updating of field staff mobility reports.

Experience and Technical Competencies:

  • Minimum of 1 year of experience in similar positions, preferably in humanitarian organizations.
  • Requirements in terms of Academic Training and technical knowledge:
  • Advanced command of office tools is essential.
  • Organizational skills, attention to detail, and service orientation.
  • Ability to work in a team, initiative and effective communication
  • Preferably basic knowledge of English.

Educational Level:

  • Technical or technological training in administrative, logistics, commerce, or related areas.
