Venezuela: Administrative Assistant (Caracas) At Venezuelan Red Cross

The Venezuelan Red Cross (CRV) is a non-profit organization with 130 years of experience providing assistance in Venezuela. As part of the world’s largest volunteer network, comprised of 190 National Societies, the CRV bases its work on the Seven Fundamental Principles of the International Red Cross and Red Crescent Movement: Humanity, Impartiality, Neutrality, Independence, Voluntary Service, Unity, and Universality. With a presence in 41 branches nationwide, the CRV develops programs and projects focused on addressing the main needs of communities in areas such as health, water and sanitation, and capacity building. Since 2020, it has collaborated closely with the German Red Cross in implementing joint initiatives in the country. It also has the support of partners such as ECHO (the European Union’s Humanitarian Aid Office), which supports projects aimed at improving access to basic services and the quality of life for people.

Job Objective

To support the national technical coordination in the efficient and timely management of logistics, inventory, and purchasing processes, ensuring the adequate provision of goods and services required by the project. This includes guaranteeing the quality of information, cost-benefit analysis, and compliance with established procedures, promoting efficient resource management. Furthermore, to contribute to strengthening the purchasing improvement plan and the execution of results-oriented activities, in line with the strategic objectives of the Venezuelan Red Cross.

Report

The Administrative Assistant will report to the local Coordinator.

Workplace: Caracas.

Functions

• Support in the preparation (Digitization, Endorsement and Photocopying) of the expense reports for each of the projects.

· Responsible for the management and custody of administrative files and expense reports generated by the execution of projects.

• Report any issues when the submitted documentation does not meet the established requirements.

• Support the Purchasing Officer in registering, controlling and updating inventories, ensuring the accuracy and reliability of the information.

• Support the Purchasing Officer in gathering documentation for the missions to be implemented in each of the projects.

• Support and manage the flow of payments, including the validation of delivery receipts and invoices, in coordination with the project’s financial area.

• Support the Purchasing Officer in periodic physical inventories and issue reports that allow for the identification of discrepancies and the taking of corrective actions.

· Verify the delivery records of the supplies sent to the branches of the Venezuelan Red Cross.

· Manage the requirements for goods and services in coordination with the requesting areas, ensuring that the purchasing processes comply with the established standards.

• Support in the application when necessary, quotes via telephone, email and call as applicable, with the support of the project’s administrative and financial assistant.

• Support in the documentation and report updates in the delivery of goods and services, ensuring timely resolution of problems.

  3. Perform any other project-related work and responsibilities that may be assigned.
