How can you make a difference? Key roles/responsibilities
The Purchasing and Logistics Assistant will be primarily responsible for supporting the Purchasing and Logistics Officer in the efficient and timely management of purchasing, inventory, and logistics processes, ensuring the adequate provision of goods and services required for Venezuelan Red Cross projects. This includes guaranteeing quality information, applying cost-benefit criteria, and adhering to established procedures, promoting efficient resource management. The Assistant will also contribute to strengthening purchasing processes and implementing results-oriented activities, in line with the strategic objectives of the Venezuelan Red Cross.
He/she will be in charge of:
- Collaborate in the management of requisitions for goods and services in coordination with the requesting departments, supporting the purchasing processes to ensure they meet established standards.
- Request quotes by phone and/or email, with the support of the project’s administrative and financial assistant.
- Support environmental analysis and assessment of local supplier availability in implementation areas.
- Collect, organize, and present information to facilitate decision-making by the National Officer and Coordinator.
- Collaborate in the preparation and presentation of comparative tables with the information obtained during the quotation process.
- Assist in the preparation of economic bid evaluations.
- Support requests for approval of purchase orders, according to the levels established by the Venezuelan Red Cross.
- Assist in interacting with the Legal Affairs Department to manage supplier contracts or framework agreements, as applicable.
- Collaborate in the development of cost-benefit analyses (CBAs) and in the preparation of recommendations based on technical, economic, and quality criteria.
- Support the issuance of purchase or service orders in accordance with awards through the established system or contract request, forwarding them to the appropriate approval channel.
- Notify suppliers and requesting areas of purchase or service orders electronically.
- Process new developments in the process of delivering goods and services.
- Collaborate in the preparation and monitoring of the weekly report to the Finance Department on the project’s purchasing needs.
- Assist in managing the procurement plan under the guidance of the national technical coordinator, ensuring that it is aligned with project priorities and available resources.
- Support the updating of the logistics and inventory cluster database, ensuring that the information is accurate and available for decision-making.
- Participate in monitoring the allocated budget, collaborating in expense control and timely reporting of deviations.
- Assist in the supervision and management of payment flow, including the validation of delivery records and invoices, in coordination with the finance department.
- Document and report developments in the delivery of goods and services, supporting timely problem resolution.
- Support the registration, control, and updating of the inventory of assets required by the project, contributing to the accuracy and reliability of the information.
- Collaborate in the implementation and maintenance of procedures for the reception, storage, and dispatch of items, ensuring compliance with quality and safety standards.
- Assist in the shipment of merchandise to Venezuelan Red Cross branches, verifying compliance with logistics standards.
- Verify and file the delivery records for supplies sent to Venezuelan Red Cross branches.
- Collaborate in the continuous improvement of the area’s procedures and protocols, aligning them with the quality standards of the Venezuelan Red Cross.
- Support training and awareness-raising processes on logistics policies and procedures within the organization.
Report
The Purchasing and Logistics Assistant will report to the Purchasing and Logistics Officer, the Finance Directorate, and the National Project Coordinator.
Trips
Must be available to travel around the country.
Teams
It is highly desirable that you have sufficient equipment to perform your duties remotely: laptop and/or computer, good Internet connection, among others.

Caracas (Headquarters of the Venezuelan Red Cross).
To qualify as a builder of the Venezuelan humanitarian system, you must meet the following requirements:
- University degree in economics, accounting, administration, engineering, logistics or related fields.
- At least two years of experience in purchasing processes, inventory management, and logistics in cooperation or humanitarian aid projects, with an emphasis on the efficient planning and execution of supply plans.
- Proven experience in budget management, financial monitoring, and administrative processes, preferably in community health, social protection, and/or emergency situations.
- Familiarity with the use of systems and tools for inventory and purchasing management, as well as the preparation of technical and budgetary reports.
- Experience in supplier negotiation, technical evaluation of quotes, and contract management, including knowledge of ethical standards and organizational procedures.
- Experience working with local organizations to promote their strengthening.
- Ability to work under pressure on a flexible schedule.
- Ability to work with a multicultural team.
- Experience working with the Red Cross/Red Crescent Movement is desirable.
- Excellent communication skills, ability to build relationships at all levels.
- Ability to work independently and as a member of a team.
- Capacity and agreement to adhere to the Fundamental Principles of the Red Cross and Red Crescent.
- Ability to maintain confidentiality.
