How can you make a difference? Key functions / Responsibilities

The Project Reports and Progress Reports Assistant will be responsible for supporting the planning, coordination, preparation, consolidation and monitoring of narrative reports, progress reports and other information products required by the projects and operations of the Venezuelan Red Cross, with special emphasis on the institutional response to the earthquake.

His work will encompass two complementary areas:

  • Monitoring compliance with the reporting schedule and other information commitments established in agreements with donors, partners and the International Federation;
  • Support for the collection, consolidation, review and quality control of the technical and programmatic information necessary for the preparation of progress reports, narrative reports and other institutional products.

The person will contribute to ensuring that reports and information are prepared with timely, consistent and quality information, facilitating accountability to donors, partners, authorities and other actors of the International Red Cross and Red Crescent Movement, as well as supporting decision-making and monitoring of project implementation.

Functions and responsibilities

1. Coordination of the reporting process

  • Prepare and maintain an up-to-date institutional calendar of progress reports, narrative reports, and other information products required by projects and operations, in accordance with the schedules established with donors, the International Federation, and other partners.
  • Monitor compliance with reporting deadlines and promptly alert supervisors and responsible teams about risks of delay or non-compliance.
  • Support coordination with national directorates, technical sectors, programs, projects, subsidiaries and other areas involved in the timely collection of information required for the preparation of the various reports.
  • Facilitate the process of reviewing, validating and approving reports, ensuring the incorporation of observations made by the corresponding bodies before their final presentation.
  • Maintain an up-to-date matrix for tracking the status of preparation, review, approval, and delivery of each report.

2. Preparation and consolidation of reports

  • Consolidate the technical, programmatic, and operational information provided by the various responsible areas.
  • Prepare drafts of narrative reports, progress reports, periodic reports, fact sheets, executive summaries, and other information products required by projects and operations.
  • Verify the consistency between the narrative information, the reported indicators, the activities carried out, the results achieved and the available means of verification.
  • Follow up on the incorporation of comments and adjustments derived from internal review processes until the final versions of the documents are obtained.
  • Adapt the content of the reports to the specific formats, guidelines, and requirements established by each donor or partner.

3. Quality control and document management

  • Review the quality, consistency, clarity, and completeness of the reports before submitting them.
  • Verify that the reports comply with institutional standards for writing, presentation, and information quality.
  • Identify gaps, inconsistencies, or pending information and coordinate with the responsible areas to correct or complete them.
  • Organize and keep up-to-date the document repository of reports, working versions and verification media that support the reported information.
  • Maintain proper version control of documents throughout the entire process of creation and review.

4. Support for information management for reporting

  • Prepare tables, graphs, charts, maps, infographics and other inputs that facilitate the presentation and understanding of the information included in the reports.
  • Support the consolidation and organization of data from different institutional sources to facilitate the preparation of reports.
  • Contribute to the standardization of templates, formats, and tools used for the preparation of project and operations reports.
  • Support the strengthening of internal information collection and validation processes to improve the timeliness and quality of reports.

5. Support for accountability and compliance with donor commitments

  • Support the preparation of reports required by donors who finance the projects and operations of the Venezuelan Red Cross, with special emphasis on the institutional response to the earthquake.
  • Monitor compliance with the reporting commitments established in the financing agreements and keep the supervisory body informed about the status of each one.
  • Prepare documentary inputs for follow-up meetings, program reviews, audits, donor visits, and other accountability processes.
  • To contribute to the strengthening of institutional reporting processes by identifying opportunities for improvement and documenting good practices related to report management.

6. Information protection

  • Ensure that the information used in the reporting processes is treated in accordance with institutional policies on confidentiality, personal data protection and responsible information management.
  • Promote the application of the Do No Harm principle in the handling and dissemination of information related to people, communities and humanitarian operations

Expected results of the position

  • An updated and monitored institutional calendar of reports and progress updates, ensuring compliance with deadlines set with donors, the International Federation and other partners.
  • Narrative reports, progress reports and other information products prepared, reviewed and delivered on time, in accordance with institutional standards and the requirements of each donor.
  • Processes for collecting, reviewing, and validating information effectively coordinated between different areas, projects, and technical sectors.
  • Document repository of reports, versions and verification methods, organized and updated.
  • Information products (tables, graphs, executive summaries and technical inputs) prepared to support report writing and communication with donors and other partners.
  • Risks of delay, information gaps or non-compliance with reporting commitments identified and communicated in a timely manner to supervision for management.

Report

The Project Progress Reports and Reports Assistant will report to the Planning, Monitoring, Evaluation and Reporting (PMER) coordination.

Workplace

The position will be carried out under a hybrid work modality, combining in-person activities and teleworking, according to operational needs, institutional guidelines and instructions from immediate supervision.

To qualify for this position, applicants must meet the following requirements:

  • University degree in social sciences, administration, international relations, social communication, statistics, project management or related areas.
  • Minimum of three years’ experience in preparing reports, managing information, monitoring projects or reporting on humanitarian, development or international cooperation programs.
  • Experience in preparing narrative reports, progress reports, and other information products aimed at donors, partners, or institutional bodies.
  • Experience in consolidating, validating, and organizing information from different areas, projects, and field teams.
  • Knowledge of results-based management and ability to interpret indicators, goals and project progress for their proper presentation in reports.
  • Ability to analyze quantitative and qualitative information, verifying its consistency, integrity and quality before incorporating it into reports.
  • Advanced proficiency in Microsoft Excel, Microsoft Word, and PowerPoint.
  • Excellent technical writing skills, synthesis and organization of institutional documents.
  • Ability to plan and organize work, manage multiple priorities and meet strict deadlines, especially in emergency contexts.
  • Excellent communication, coordination, and teamwork skills.
  • Ability to handle confidential information and personal data in accordance with institutional data protection policies and the Do No Harm principle.
  • Commitment to the Fundamental Principles of the International Red Cross and Red Crescent Movement.

The following will be taken into account:

  • Experience in preparing reports for the International Federation, agencies, cooperation bodies or institutional donors.
  • Knowledge of donor-funded project management processes and associated reporting requirements.
  • Experience in emergency or disaster response operations.
